2023 CDD Agreement Options - Need Your Feedback
Good afternoon Shark Family,
The Swim Team Board is diligently preparing our proposed agreement to the CDD Board for the 2023 season. We need your input and support, however. We have detailed 2 challenges below with multiple solutions and options. There will be other changes to our agreement, but these are the primary ones. We will meet tomorrow afternoon (Sunday, the 5th) at the Shearwater Outpost at 4:30pm. We will answer your questions, listen to ideas and together come to a consensus on our path forward. We can’t do this without you and value each of your ideas. Please come with a solution mind set and help us to build this program.
Please read the solutions and options below and be prepared to vote on what you deem to be the most reasonable. We need to have our proposal submitted by Tuesday February 7th in order to be on the February 15th 3pm CDD Meeting agenda. (Please plan to be there as well)
2023
Suggested Improvements
Challenge 1
During the 2022 season, parking for home meets overflowed from the parking lot after the event started preventing lifeguards from finding parking spots at 10am. This overflow also resulted in non-swim team affiliated residents parking on grass and other restricted areas.
Solution 1 -Have most swim team event vehicles park at Timberlin Creek Elementary Parking lot (Principal Edel has granted approval). Shuttle parents to the event.
Solution 1 Options
| Option | Vendor | Cost | Volunteers | Additional Burdens |
| 1 | EZ Event | Awaiting Quote | 0 | |
| 2 | North Florida | $600 | 3 | Volunteer liability |
| 3 | Tuk'n Bus | $1,600 | 0 |
Solution 2 – Add additional restricted parking spaces to accommodate staff/lifeguard parking. Monitor the parking lot the entire event saving spaces for staff/lifeguards.
Solution 2 Options
| Option | Option | Cost | Volunteers Needed/Event | Additional Burdens |
| 1 | Security Guard | $1,100 | 0 | |
| 2 | Shark Volunteers | $0 | 8 | Volunteers miss swim meet |
Challenge 2
Some on the CDD Board feel the swim team events/practices place a financial burden on the community that requires compensation. The previous 2 seasons, the Sharks paid 10% of fees paid to coaches back to the CDD. This year, the CDD Board may seek 10% of entire registration fees. The difference, based on last year’s numbers is approximately $1,300 or an additional $16/swimmer or more. The CDD Board may also push to require the Sharks to rent the Pavilion/Kayak Club to offset lost revenue when hosting meets.
Solution 1 – Convince the Board that we are a 501c3 non-profit made up entirely of CDD paying residents and should not incur the same fees as for-profit businesses made up of non CDD paying individuals. This is precedent for many of the teams in our swim league. Most teams pay $0 for use of their facilities.
Solution 2 – Pay the revised 10% fee and request the CDD Board agree to not impose additional facility use fees such as having to rent the pavilion/Kayak Club during meet.
Solution 3 – Donate community hours to the CDD. These could be swimmers/parents or other Bright Future volunteers looking to get hours through the swim team. We commit 100volunteer hours to assist with Shearwater events, Community garden cleanup, facility cleanup, etc. This would save the team money, assist with making community events smoother, provide a cleaner neighborhood all while teaching youngsters to be responsible citizens. This would require an even heavier lift from our parents to help make this happen on top of the existing volunteer commitments.
Thank you and hope to see you tomorrow. Try to ride carts and bikes as parking is limited. If you cannot make it, please reply to this email with your vote/ideas/opinion and the Swim Team Board will see that it is reflected in the final decision.
Sincerely,
James Hale
Shearwater Sharks - President
